At the Vault Studio ("we," "our," "us"), we are committed to protecting your privacy and safeguarding your personal information. This Privacy Policy outlines how we collect, use, and protect your personal data when you interact with our website, services, and music studio, and who that data gets shared with, if at all.

By using our services, you agree to the terms of this Privacy Policy.

1. Information We Collect

We collect personal information from you when you:

  • Book a recording/production session, event, or other service.

  • Join our membership program, become an in house creative, or join our mailing list.

  • Contact us through our website form, email, or social media.

  • Purchase merch in our shop.

The types of information we may collect include:

  • Contact information such as name, mailing address, phone number, and email address

  • Personal information such as billing address and credit card information, when provided 

  • Demographic and preference information such as purchase history

  • Online activity data, such as the date/time you visited, the pages you viewed/used, time spent on a page/screen, searches you performed, and other information about your activity or navigation while on our website.

  • Device data, such as unique device identifier, MAC address, hardware model, or browser type.

  • Location data, such as IP address, city/state, or network information.

  • We may also supplement the information listed above with anonymous site traffic information collected automatically when you visit our site, and with information acquired from our joint marketing partners, from our trusted third-party partners, and from our affiliated companies.

2. How We Collect, Store and Use Your Information

We collect some of your information automatically through use of the Meta (Facebook) Pixel. Additionally, we collect information through our booking and purchasing forms hosted by Wix.com, Jammed and Shopify (and Mailchimp when you sign up for our newsletter.) Your data may be stored through the respective companies’ data storage and databases, on secure servers behind a firewall.

Cookies: We use “cookies” to help you personalize your online experience. Cookies are small data files stored on your browser, in your hard drive or in device memory that help us to improve our Services and your experience, see which areas and features of our Services are popular and count visits. Please note that if you set your browser to disable cookies, the device and the Services or certain portions of it may not work properly.

  • Necessary: Cookies required for access to the Site and core functionality of the Services.

  • Behavior and analytics: Cookies used to gather behavioral information through the Site; provide customized content and recommendations; and analytics.

  • Marketing: Cookies that are used to deliver relevant advertising. These cookies are placed in order to deliver content, including ads relevant and meaningful to you and your interests. They may also be used to deliver targeted advertising or to limit the number of times you see an advertisement. This can help us track how efficient advertising campaigns are, both for our own Services and for other websites. Such cookies may track your browsing habits and activity when visiting our Site and those of third-parties.

  • Web beacons, also known as “pixel tags” or “clear GIFs”, track when some of our emails are accessed or opened or when content is viewed or clicked. This data helps us understand which marketing campaigns are successful and who is interested in our products/services; over time, this helps us calibrate and improve our results so we are sending the most valuable content to your inbox.

  • Social media widgets, are small icon links to Facebook, Instagram, and Spotify. These features may collect your IP address, which page you are visiting on the Site and may set a cookie to enable the feature to function properly. These social media features are either hosted by a third party or hosted directly on the Site. Your interactions with these features are governed by the privacy policy of the company providing it.

We use your information to provide the services and products you purchase, process payments, issue receipts, communicate with you about your bookings, services, or purchases, send promotional emails or updates (only if you opt-in), deliver tailored ads through online means, and improve our website and services. We may also use your information to protect against, identify, or investigate fraudulent, harmful, or unethical activity in our community, to comply with our legal or contractual obligations, resolve disputes, enforce the Site’s Terms and Conditions, and protect our, your or others’ rights, privacy, safety or property (including by making and defending legal claims)

3. How We Protect Your Information

We implement industry-standard security measures to protect your personal information. This includes Secure Socket Layer (SSL) encryption for data transmitted online, restricting access to personal information to authorized personnel only, and regular review of our data collection and storage practices.

We use third-party services such as payment processors, scheduling software, and email marketing platforms to provide you with our services. These third parties (e.g, Jammed, Shopify, and Mailchimp) have their own privacy policies, and we encourage you to review them. All direct payment gateways offered by Wix.com and Shopify adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express and Discover. PCI-DSS requirements help ensure the secure handling of credit card information by our store and its service providers.

5. Your Data Rights

You have the right to access the personal information we hold about you, request correction of any inaccurate information, request deletion of your personal information, and withdraw consent for email marketing at any time. Most browsers let you remove or reject cookies and other tracking technologies. To do this, follow the instructions in your browser settings. Please note that if you set your browser to disable cookies, the Device and Services, or any portion of it, may not work properly. 6. Data Retention

We retain your personal information only for as long as necessary to provide our services or comply with legal obligations. Once your data is no longer needed, we will securely delete or anonymize it.

7. Children's Privacy

Our services are not intended for children under the age of 13. We do not knowingly collect personal information from minors without parental consent. If you believe we have collected information from a minor, please contact us immediately.

8. IMPORTANT INFORMATION FOR CALIFORNIA RESIDENTS

If you are a California resident, you have additional rights outlined in this section. For purposes of this section, “Personal Information” has the meaning given in the California Consumer Privacy Act of 2018 (“CCPA”) but does not include information exempted from the scope of the CCPA.

We collect and have collected within the preceding 12 months the following categories of Personal Information as listed in the CCPA:

  • Category A. Identifiers: Your name, address, phone number, email address, IP address, and other online identifiers. We receive such information directly from you and third parties.

  • Category B. Personal information, as defined in the California customer records law: Your name, credit card information and contact information. We receive such information directly from you and third parties.

  • Category D. Commercial information: Your purchase history and purchase data. We receive such information directly from you, your device and third parties.

  • Category F. Internet or network activity information: Your browsing history and interactions with our website. We receive such information directly from you, your device and third parties.

  • Category G. Geolocation data: Your device location data. We receive such information directly from you and your device.

  • Category H. Visual information: Your photographs. We receive such information from third parties if you use the Services by logging in through a third-party login/account registration service (such as Facebook or Gmail) and approve the sharing of photos.

  • Category K. Inferences drawn from any of the Personal Data listed above to create a profile about, for example, your preferences

In the preceding 12 months, we:

  • did not sell your Personal Information;

  • have shared Personal Information with all categories of third parties described above in the section entitled “How We Protect Your Information”; and

  • have shared Personal Information for all business purposes described above in the section entitled “How We Protect Your Information”;

YOUR RIGHTS

  • Access. You can request a copy of the personal information we have collected about you during the past 12 months, including the categories of information, sources, and purposes of collection, as well as categories of third parties we have shared it with.

  • Deletion. You can ask us to delete the Personal Information that we have collected from you. Under the CCPA, this right is subject to certain exceptions: for example, we may need to retain your Personal Information to provide you with the Services or complete a transaction or other action you have requested. If your deletion request is subject to one of these exceptions, we may deny your deletion request.

  • Nondiscrimination. You are entitled to exercise the rights described above free from discrimination in the form of illegal price increases or service quality decreases. However, we may offer different tiers of our Services as allowed by applicable data privacy laws (including the CCPA) with varying prices, rates, or levels of quality of the goods or services you receive related to the value of Personal Information that we receive from you.

How to exercise your rights: You can request access and deletion by emailing us at info@thevault.studio, calling us at (301) 388-5006 or by writing to us at the address below. We reserve the right to confirm your California residence and will need to confirm your identity to process your requests. As part of this process, government identification may be required. You may designate an authorized agent to make a request on your behalf as permitted under law, though before we process that request, we will require that you provide the authorized agent written permission to do so and verify your identity directly with us.

Request a list of third-party marketers: California’s “Shine the Light” law (California Civil Code § 1798.83) allows California residents to ask companies with whom they have formed a business relationship primarily for personal, family or household purposes to provide certain information about the companies’ sharing of certain personal information with third parties for their direct marketing purposes during the preceding year. You can submit such a request by sending an email to info@thevault.studio with “Shine the Light” in the subject line. The request must include your current name, street address, city, state, and zip code to prove that you are a California resident.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be posted on our website with an updated effective date. Your continued use of our services after changes are made constitutes your acceptance of the revised policy.
